This policy explains what personal information Hire Across Euro collects, why we collect it, who we share it with, and the choices you have. It covers this website and the recruitment services we provide through it.

1. Who we are

Hire Across Euro is an international manpower recruitment agency and labour consultancy based in Dubai, United Arab Emirates. We connect workers from South Asia with employers in Europe.

For candidates and employers in the European Economic Area and the United Kingdom, Hire Across Euro acts as a data controller for the information described below. Where we pass candidate details to an employer, that employer becomes a controller in their own right for how they use them.

2. The short version

  • We collect what we need to match workers to jobs and nothing that serves no purpose.
  • We never sell your personal information, and we never publish it.
  • We share candidate details with an employer only in connection with a role you have applied for or agreed to be put forward for.
  • Our website chat is an automated assistant. What you type is sent to OpenAI to generate the reply, and the conversation is stored.
  • You can ask us at any time for a copy of your data, or ask us to delete it.

3. Information we collect

3.1 If you are a candidate

When you complete the application form, apply for a vacancy, or send us your details another way, we collect:

  • Name, email address and WhatsApp or phone number
  • Nationality and the country you are currently in
  • Trade or skill, industry, and years of experience
  • Preferred destination country in Europe
  • Passport status and English language level
  • Your CV, if you upload one, and anything written in it
  • The vacancy reference you applied through, and anything you write in the message box

Later in the process, and only where a role requires it, we may also handle:

  • Passport and identity documents
  • Trade certificates, qualifications and proof of experience
  • Medical fitness certificates and police clearance certificates
  • Visa and work permit paperwork, and correspondence with embassies and authorities

3.2 If you are an employer

  • Company name and the name of the person contacting us
  • Work email address and phone or WhatsApp number
  • The country workers are needed in, the industry, the roles and the number of workers
  • Your timeline, and whether you need work permit and visa support
  • Anything written in the message box

3.3 If you use the website chat

Our assistant asks for your name, email address and WhatsApp number before answering questions. We store those details together with the full conversation, the page you were on, and the time.

3.4 Everyone who visits the website

  • IP address, browser type and device information
  • Pages visited, time spent and how you arrived at the site
  • Information collected by Google Analytics — see our Cookie Policy

4. Special category data

Medical fitness certificates, police clearance certificates and similar documents are treated as special category data under the UK and EU GDPR. We collect them only when a destination country or an employer requires them for a role you are actively being considered for, and we rely on your explicit consent and on the legal obligations attached to work permit and visa processing. You may withdraw that consent at any time, though we may then be unable to continue with a placement.

6. Who we share it with

  • Employers considering you for a role, in Europe and elsewhere.
  • Government bodies, embassies and consulates, where a work permit or visa application requires it.
  • Medical providers and background screening partners, where a role requires a certificate or check.
  • Service providers who run parts of our website, listed in section 7.
  • Professional advisers, such as lawyers and accountants, where necessary.
  • Authorities, where we are required by law to disclose information.

We do not sell personal information, and we do not share it for advertising.

8. The website chat assistant

The chat on this website is automated. It is not a person, and it will tell you so if you ask.

  • The messages you type, along with the recent conversation, are sent to OpenAI so a reply can be generated. OpenAI processes them on our behalf and, under our arrangement with them, does not use them to train their models.
  • The assistant asks for your name, email and WhatsApp number before it answers. You may decline; it will still answer general questions.
  • Conversations are stored for up to 12 months and may be emailed to our team.
  • Please do not type passport numbers, identity document numbers, medical details or payment information into the chat. Send those to us by email or WhatsApp instead when a consultant asks for them.

9. International transfers

We are based in the UAE and we place workers with employers across Europe, so your information will be transferred internationally. Where information moves out of the EEA or the UK, we rely on your explicit consent, on the necessity of the transfer for a contract with you, or on standard contractual clauses with the receiving party. You can ask us what applies in your case.

11. How we protect it

  • The site runs over HTTPS.
  • Uploaded CVs are stored outside the public area of the website, under filenames that cannot be guessed, and can only be downloaded by our staff after logging in. They are never published at a public web address.
  • Access to applications and enquiries is restricted to staff who need it.
  • Forms are protected against automated abuse.

No system is perfectly secure, but if a breach affects your information and creates a real risk to you, we will tell you and the relevant regulator as required by law.

12. Your rights

Depending on where you live, you may have the right to:

  • Ask for a copy of the information we hold about you
  • Have inaccurate information corrected
  • Have your information deleted
  • Restrict or object to how we use it
  • Receive your information in a portable format
  • Withdraw consent at any time, without affecting what we did before you withdrew it
  • Complain to a data protection authority

To exercise any of these, email info@hireacrosseuro.eu with the word “Privacy” in the subject line. We will respond within 30 days. We may need to confirm your identity first, so that we do not release your details to somebody else.

13. Beware of recruitment fraud

We will never ask you to pay a fee to a personal bank account, and we will never ask for payment in exchange for a guaranteed job or visa. Any fee that applies to you is set out in writing before you accept an offer. If someone contacts you claiming to represent Hire Across Euro and asks for money in another way, do not pay, and tell us at info@hireacrosseuro.eu.

14. Children

Our services are for adults. We do not knowingly collect information from anyone under 18. If you believe a minor has sent us information, contact us and we will delete it.

15. Changes to this policy

We update this policy when our practices change. The date at the top shows the current version. Where a change is significant, we will say so on this page.
